What will you be doing? 

We are looking for a Facilities Manager to come in and help us with everything from making sure that our sites are safe to work in to making sure we are paying the right tarrifs for the utlitiies. But we also want you to be responsible for making all of the offices into environments that our staff want to come to work in. We have 5 offices across the country so you will be required to travel. 

Yes you will have to do the mundane maintenance jobs but once they are done we want you to be able to make a difference to where we work. 


  • Experience of managing all aspects of facilities for office based sites
  • Commercial awareness of all facilities requirements and company obligations

  • Proficient IT user, particularly Microsoft Office packages but not limited to them

Actual duties

The facilities manager will be responsible for ensuring that the Straddle can be used by its occupants safely and without disruption.  Their areas of responsibility will be:

  • Management
    The FM manages all facilities related activities on site, including the management of others carrying out any works. The FM is responsible for all persons involved in facilities related activities.
  • Security
    The Straddle currently has sub-contracted security cover operating 247. The Security Company and guards on duty answer directly to the FM.  The FM must check and authorise all assignment instructions (for the guards).  Any physical security issues are the direct responsibility of the FM.  It is the FM’s responsibility to liaise with the guards and the security company, passing on any information or instructions, as necessary.
    The FM will be the primary key holder for The Straddle.  Any issues occurring outside of normal working hours will be the FM’s responsibility and it will be the FM’s duty to ensure that at least one person is available at all times to deal with any issues arising.  This is currently shared between me and Darren Bramall.  We always ensure that we are not on leave at the same time.  Currently we are not paid to be on call, so any call out is best endeavours only (although there has never been a failure to attend site in an emergency)
    The FM is responsible for the building’s access control system, including maintenance, access permissions and enabling or disabling of access badges.  This responsibility extends to other sites, where the access control system is used.
  • Maintenance
    The FM is responsible for maintenance of all systems. These include
    • Building infrastructure (for example: doors and windows).
    • Electrical installations, including fixed wiring inspections.
    • Portable electrical appliances.
    • Heating systems
    • Air conditioning systems
    • Uninterruptible power supplies
    • Emergency signage
    • Fire alarm systems
    • Fire exit doors
    • Fire extinguishers
    • Emergency lights
    • Access controlled doors
    • Evacuation chairs
    • Burglar alarm systems
    • Passenger lifts
    • Pool vehicles

Although most routine maintenance is likely to be carried out by third party contractors, initial assessments and minor issues will be dealt with in-house.  This is to ensure that issues can be dealt with quickly and cost-effectively.  The FM is also be responsible for ensuring that the fire log is kept up to date.  This covers fire alarm tests, extinguishers, emergency lights, exit doors and access controlled doors.

  • Cleaning
    The cleaning of The Straddle is carried out by a third party company. The FM manages this.  All cleaning is audited and the FM should carry out the audit with the cleaning company.
  • Cars
    The FM is responsible for daily rental of hire cars and vans, including contracts with suppliers, insurance of vehicles, ensuring that drivers are licenced to drive (with HR and admin assistance). The FM is also responsible for any leased pool vehicles, including the support car kept at The Straddle.
  • Copiers
    The FM is responsible for photo-copiers and their leases. Routine maintenance is arranged by admin.
  • Environment
    The FM is responsible for ensuring that the company’s environmental management system is complied with and all requirements are adhered to. The FM is responsible for all waste disposal, including signing of waste transfer notes and ensuring that a waste hierarchy is adhered to.
  • Furniture and Carpets
    The FM is responsible for maintain furniture and obtaining replacements or new furniture as required.
  • Utilities
    The FM negotiates utilities contracts (with assistance from our appointed broker).
  • Telecoms
    Although IT support look after much of the internal telephone system and mobile phones, responsibilities for the contracts and assistance with the telephone system lies with the FM.
  • Health & Safety
    Although the company safety officer is responsible for health and safety, the FM will proactively deal with any H&S issues that fall within his areas of responsibility. There is normally very close liaison between the FM and the safety officer.  Altough the FM is not currently the fire officer, this would normally be the case.
  • In-House Projects
    Any in-house projects, such as modifications to office layouts, falls within the responsibility of the FM. The FM manages these projects, for other offices as well as The Straddle.  The FM is responsible for developing a scope of work required, obtaining quotations for the work and placing orders for the work to be done.
  • Invoices
    The FM checks and authorises all invoices related to the site’s facilities and maintains records in order to benchmark future invoices.
  • Receipt of Goods
    THE FM is responsible for the receipt of any goods ordered by the company. This requires a goods inwards procedure and systems.  The FM is also responsible for ensuring that received items are marked as received in the company’s accounting system (in order to trigger payment of invoices).
  • Training
    The FM ensures that anyone carrying out facilities related activities is suitably trained for the task. The FM must arrange any required training.
